Software buying guide
Compare finance software against a reporting workflow
Trace one number from its source to an approved report before considering a broader finance platform.
Identify the decision you need to support: a budget revision, cash forecast, management report or month-end review. List the source systems, spreadsheets, owners and approval steps. Separate a reporting problem from missing or inconsistent underlying records.
Make evidence traceable
- Source connections, refresh timing and failed-import alerts.
- Account mapping, entities, currencies and documented assumptions.
- Version history, permissions and review responsibilities.
- Exports and the ability to explain a reported figure.
Datarails’ official overview describes Excel-connected finance planning and reporting. Use the Datarails profile to prepare a focused demonstration. For workforce-cost inputs, the Deel, Rippling and Papaya Global profiles are related research, not a claim that payroll and financial planning are interchangeable.
Use a reconciliation example
Ask the vendor to trace a sample figure through a mapping change, revised assumption and final report. Who can override a number, and how is that visible? Can an earlier report be reproduced? What happens when a source file is late or its structure changes? Include a finance owner in the evaluation rather than relying only on a technical demonstration.
Budget for the work around the software
Include connectors, entities, users, historical-data preparation, implementation assistance, training, support and ongoing model maintenance. Ask which changes require the vendor and which your team can manage. Record renewal, export and termination arrangements in the proposal.
Pilot a limited reporting cycle with non-sensitive sample data, then agree reconciliation and acceptance checks before any live connection. Keep the existing process available during transition. These are software-selection criteria, not accounting, tax or financial advice; appropriate advisers should assess the decisions and obligations specific to your business.
The buying checklist helps compare the same scope across proposals.
