Evaluate a business phone system with real call scenarios
Start with number requirements, call routing and service continuity before comparing optional features.
Map the calls your business needs to handle: first enquiries, existing-customer support, transfers, unanswered calls and out-of-hours requests. Specify the countries involved and where staff will work. Confirm number availability and documentation requirements directly rather than inferring them from a country list.
Build your comparison
- Number ownership, portability, caller identification and supported destinations.
- Opening hours, queues, transfers, voicemail and overflow routing.
- Devices, connection requirements and a fallback when internet access fails.
- Permissions, call-history access and optional recording controls.
KrispCall’s official overview lists routing, queues and voicemail among its phone-system features. Read the KrispCall and CloudTalk profiles, then ask each vendor to demonstrate the same routing plan.
Test the awkward calls
What happens if every agent is busy, a transfer fails or someone calls outside opening hours? Can you retrieve the history without giving every staff member administrator access? Confirm any emergency-calling limitations, recording requirements and number-registration obligations for your intended use; do not assume a cloud number replaces every existing phone service.
Check the bill and the transition
Price users, numbers, inbound and outbound usage, destination-specific rates, messaging, storage and optional intelligence features. Ask how usage is rounded, which destinations are excluded from allowances and what happens at a spending limit. Include headsets, training and configuration time.
Before moving an existing number, agree the porting process, ownership evidence, expected interruption and rollback contact. Pilot with an approved test number and realistic devices. Record what passed, what failed and who will own future routing changes. Keep the previous service until the agreed transition checks are complete.
If calls must appear in customer records, use the CRM guide to test that handover instead of assuming that an integration logo proves a complete workflow.
Put your requirements in writing.
