Small-team phone systems

Best business phone system for small teams (2026): choose around the calls

A shared number is useful only when the right person answers, the conversation is recorded in the right place and the complete bill fits the work.

Start with the job your phone system must do

Our assessment: KrispCall deserves an initial look for a small team sharing routine enquiries with modest calling needs. CloudTalk merits a closer evaluation for CRM-connected sales or support work, especially when the team needs a structured trial. Neither is a universal winner: number eligibility, call destinations, routing and fair-use terms can eliminate an otherwise attractive option. This is a focused shortlist based on official public documentation checked on 31 October 2026, not a hands-on ranking of every phone provider.

Write down the call that currently goes wrong. It might be an unanswered enquiry, a transfer without context or a salesperson forgetting the next step. That failure tells you more about the required system than a list of AI features. A two-person office answering a local number has a different problem from eight salespeople dialing internationally.

A shortlist by requirement

What to evaluate first
Your main requirementStarting shortlistDeciding demonstration
Share a low-volume business numberKrispCall Starter; CloudTalk Starter as a comparisonAnswer, transfer, voicemail and missed-call ownership
Record calls and follow up from a CRMKrispCall Advance; CloudTalk EssentialCorrect contact matching and a logged next action
Run a repeatable outbound workflowCloudTalk Essential with Power Dialer or Expert; KrispCall AdvanceDialing, outcome selection and permitted workload
Handle a busy inbound queueCloudTalk with confirmed routing entitlementsWaiting, overflow, transfer and escalation under load

These are our assessments of documented capabilities. KrispCall's current matrix labels queueing as forthcoming, while CloudTalk's public sources differ on Starter IVR inclusion. Require the exact routing feature in the written plan rather than assuming an entry subscription contains it. KrispCall matrix · CloudTalk plans.

Use the full subscription cost

USD figures below are per user per month. The annual column is a monthly equivalent with an annual commitment. Additional numbers, excluded traffic, messaging, add-ons, fees and tax can change the total.

Three useful budget calculations

  • Three KrispCall Starter seats: $45 on monthly billing, or $432 for a year at the $12 monthly equivalent. This assumes Starter's feature and usage limits fit all three people.
  • Two CloudTalk Essential seats: $78 monthly, or $696 annually before other charges. Expert's three-license minimum makes its annual base $1,764 even if only two people need access.
  • Four CloudTalk Essential seats with Power Dialer: $176/month equivalent using the $29 annual seat price plus the published $15 dialer add-on per user. Ask how the add-on is billed alongside the annual base.

These are calculated subscription subtotals, not complete quotes. CloudTalk lists Power Dialer as included on Expert and separately charged on lower tiers. Parallel Dialer is a different $39/user/month add-on. US-billed subscriptions also attract its 11% Compliance and Administrative Cost Recovery Fee; applicable taxes and other services remain additional. Dialer prices · US fee explanation.

Check the route your calls actually take

List agent locations, telephone-number origins and destinations separately. A colleague working in Pakistan, a UK number and a customer on a German mobile create three distinct inputs. A provider advertising international numbers does not establish that your particular business is eligible for each one or that calls from it are included.

KrispCall advertises numbers across 100+ countries and an eligible US, Canadian or UK number per user. CloudTalk advertises a wider local-number footprint, but availability still needs confirmation by country and number type. Ask whether the number supports inbound calls, outbound caller ID and SMS, and whether local documentation is required. Country coverage counts are starting points for a conversation, not approval to provision a number. KrispCall number terms · CloudTalk regions and numbers.

For KrispCall, the fair-use policy specifies 200 inbound and 200 outbound minutes plus 100 SMS segments per Starter user monthly; Advance increases these to 1,000, 1,000 and 500. Destination restrictions apply, including UK/Australia mobile exclusions from the stated local-number allowance. Max's marketing and permitted-use wording need written clarification before any high-volume deployment. CloudTalk also applies regional allowances and fair use. Evaluate the handoff, not just the dial tone

Prepare one incoming and one outgoing scenario. For the incoming call, let it ring unanswered, reach the intended fallback, then have a second colleague return it. For the outgoing call, start from an existing customer record, add an outcome and create the next task. Include duplicate records and a customer using a different phone number. These are recommended evaluation steps; we have not performed them on either product.

KrispCall documents Pipedrive contact synchronization and SMS logging. CloudTalk puts standard integrations on Essential and lists Salesforce on Expert in its USD plan guide. Confirm whether your connection needs extra licensing, administration privileges or configuration. A connector name alone does not show which fields sync, whether recording links inherit permissions or what happens when two systems disagree. KrispCall/Pipedrive · CloudTalk integration tiers.

Plan the move without losing the number

  1. Confirm portability first. Give the prospective provider the country, number type and existing carrier. Obtain the fee, required documents and a written estimate; a coverage page is not a guaranteed port date.
  2. Match the current account records. The authorized name, service address and supporting bill must agree. Keep credentials and authorization documents inside the provider's designated process.
  3. Keep the old service active. KrispCall explicitly warns against cancellation before completion. Arrange a temporary test number and fallback, and agree who monitors the migration.
  4. Check voice and messaging separately. CloudTalk's UK guide distinguishes mobile SMS support from other number types. A successful voice transfer is not proof that every messaging function follows.
  5. Validate before closing the old account. Check incoming/outgoing calls, caller ID, after-hours handling, voicemail and the CRM trail. Confirm successful completion and review the remaining old-provider charges.

Apply the choice to your team

  • Two people sharing customer enquiries: prioritize one clearly owned inbox, missed-call follow-up and an affordable allowance. Start the demonstration with the person who currently answers the phone.
  • Five salespeople calling from a CRM: compare Advance with Essential plus the actual dialer. Confirm permitted call volume and record ownership before discussing automation speed.
  • A UK business retaining an established number: make portability, supporting documents and SMS capability the first decisions. Subscription savings do not compensate for a broken customer contact channel.
  • A distributed US support team: focus on queues, working hours, escalation and the complete US-billed invoice. Test from each working location with the proposed headsets and connection.

Questions small teams ask

Can a single person buy either system?

CloudTalk's Starter and Essential allow one license, while Expert begins at three. KrispCall Starter is aimed at small teams and caps users at five. Confirm number provisioning and the selected contract before purchasing solely around a seat count.

Is a free trial available?

CloudTalk documents a 14-day demo with Expert access, $10 shared outbound credit, ten SMS fragments and a test number; it expires automatically. KrispCall's overview says no free trial. A refund offer is not equivalent to free access or a refund of consumed telecom services. CloudTalk demo · KrispCall FAQ.

Will annual billing always save money?

The seat rate is lower, but an unsuitable tier, unused licenses or excluded traffic can erase the benefit. Resolve the workflow and usage assumptions before comparing the twelve-month commitment.

Do we need AI call summaries immediately?

Start by deciding who will read them and which task they replace. Obtain the exact add-on cost, storage and access rules. Reliable ownership of a simple callback task can be more useful than summaries nobody reviews.

Choose your next evaluation

Use the detailed KrispCall versus CloudTalk comparison and the KrispCall and CloudTalk profiles to narrow the tier. Capture requirements with the selection checklist or CRM brief builder. If neither shortlisted workflow fits, examine Aircall and JustCall as further candidates, without assuming their price or limits match.
