Zoho CRM vs Salesflare vs Close (2026): pricing, features and which to choose

Choose around the sales work: managing a configurable process, maintaining business relationships or running calls and follow-ups.

Quick verdict

Our assessment: shortlist Zoho CRM when you need configurable sales processes, quotations and operational handoffs, and someone can own the configuration. Salesflare is particularly relevant to small B2B teams whose relationships live in email and calendars and who want less manual record keeping. Close is the stronger starting point for a calling-led sales team that wants email, phone, SMS and follow-up execution together. A simple pipeline tool may be sufficient if none of those requirements is substantial.

Zoho: low entry cost, meaningful edition limits

Free permits 5,000 records; Standard permits 100,000. Standard has five deal pipelines, Professional ten, Enterprise twenty and Ultimate fifty. Blueprint, which structures required steps in a process, starts with three Blueprints on Professional. Those boundaries can matter more than a small seat-price difference. Zoho's trial allows three users, so it is not a full-team capacity test. Edition limits · Trial limits, checked 31 October 2026.

Budget separately for implementation, telephony, additional storage and other Zoho applications. Premium support costs 20% of the subscription; included Classic support is a different service. Restricted team-user licenses are not substitutes for full sales-user seats. Ask for a role-by-role proposal before using them in a cost estimate. Salesflare: buy Pro for the recurring follow-up workflow

Growth captures contact information and activity, but Pro adds multi-email sequences, restricted user access and custom dashboards. Enterprise's five-seat minimum makes its annual-equivalent subscription at least $495/month, calculated from the published rate. Its additional value includes vendor-managed migration and tailored training; ordinary onboarding is already free. Included lead-search credits are five on Growth, 100 on Pro and 250 on Enterprise. Additional monthly packs cost $39 for 250, $69 for 500 or $129 for 1,000. These are discovery credits, not contact-storage allowances; confirm whether the included credits apply per user or account and when they reset. Plans and extras, checked 31 October 2026.

A claim of unrestricted CRM contacts does not mean unrestricted email delivery. Salesflare documents mailbox-dependent workflow quotas, including 2,000 daily for business Google/Microsoft accounts and 200 daily for custom SMTP. Treat these as technical ceilings, not recommended sending targets. Workflow email quotas, checked 31 October 2026.

Close: separate seats, communications and AI

Calling and SMS are usage charges, with numbers billed separately. The pricing page gives indicative outbound calls around $0.02/minute and numbers from about $1/month; destination-specific rates govern the actual bill. Call Assistant is separately listed at $50/organization/month plus $0.02/minute. It is different from Chloe's credit-based services. Usage and add-ons, checked 31 October 2026.

Monthly AI credits are pooled: Solo includes 500; Essentials includes 1,000 per user capped at 10,000 per organization; Growth 1,500 capped at 15,000; Scale 2,000 capped at 20,000. They do not roll over. Extra subscriptions start at $20/month for 1,200 credits, and voice-agent calls also incur telephony charges. Price the features you will actually enable. Close AI billing, checked 31 October 2026.

Recording retention is 30 days on Solo/Essentials, 90 days on Growth and unlimited on Scale. Additional organizations cost $50/month each; Growth and Scale include one secondary organization. These limits matter when several brands share a sales operation or a long sales cycle requires older recordings. Retention and organization pricing, checked 31 October 2026.

Which team should choose which?

  1. Three-person UK consultancy: Salesflare deserves a demonstration if conversations and meetings contain most client context. Compare Growth against Pro using a real follow-up sequence; choose Zoho if lower subscription cost and configurable processes outweigh setup work.
  2. Five-person US sales team making daily calls: start with Close Growth if Power Dialer and automated follow-ups are central. Its calculated annual-equivalent seat subtotal is $495/month before usage. Demonstrate ownership reassignment, replies and failed calls before upgrading for Scale's controls. Pricing, checked 31 October 2026.
  3. European distributor linking deals and quotations: examine Zoho Professional's inventory modules. Define how accepted quotes reach accounting and who can edit prices. Similar-looking fields do not prove a complete financial integration.
  4. Solo founder with an uncertain sales process: begin by evaluating Zoho Free or Close Solo against a written workflow. Extra automation is poor value until the next action, stage definitions and required customer information are clear.

Other options

Bigin is worth examining for a simpler pipeline-focused requirement. Pipedrive is another pipeline-oriented shortlist candidate. These are alternatives to investigate, not claims of lower total cost.

Buyer questions

Which is cheapest for a small team?

Zoho has the lowest paid team entry price here, while Close Solo is restricted to one person. Compare the tier that supports the work; a missing sequence, permission or integration can erase the apparent saving.

Can a CRM replace our newsletter platform?

Do not assume so. Zoho distinguishes sales mass email from marketing campaigns; Salesflare sends through connected mailboxes. Separate newsletter consent, subscription management and campaign requirements from individual sales follow-up. Zoho email distinction · Salesflare mailbox limits.

Does the most expensive edition include every AI service?

No. Close separates AI credits from CRM and telephony billing; Zoho's matrix gives different availability and prerequisites to individual Zia features. Ask for the exact feature, edition and usage allowance rather than buying an AI label. Close credit rules · Zia availability.

What should we test before annual billing?

Import permitted sample records, capture a conversation, assign its next action, move the deal and produce the manager's report. Check duplicate handling, permissions and export. Record what the selected paid tier includes when trial access ends.

Which works best across US and European teams?

Location alone does not decide the product. Evaluate billing currency, support coverage, data-processing arrangements, mailbox connectivity and telephone destinations. Require the same workflow demonstration from each finalist; these are evaluation recommendations, not tests we performed.
